Job Description

The Department of Academic Affairs seeks a casual Academic Program Administrator who will oversee all aspects of the day-to-day administration of the School of Nursing (SON) DNP Programs. This role requires strong organizational, analytical, event planning, and management skills, including data analysis, project management, coordination of task forces/other groups, and implementation/evaluation skills. This position is part of the Academic Affairs team and reports directly to the Manager for Operational Excellence in conjunction with the DNP Program Director.


Specific Duties & Responsibilities


Major Responsibilities

  • Develop and implement processes, procedures, policies, and systems. These may include a course scheduling system, student databases, and student worker tracker mechanisms. Maintain other program and student databases.
  • Work closely with the Faculty Program Director and Associate Director(s) in establishing program course schedules, brochures, and catalogs. This requires planning, coordination, knowledge, and understanding of the academic program.
  • Assist faculty and student needs and triage them to the right person if this position is not the person who can address the faculty member or student’s needs.
  • Work closely with counterparts in SON and University-wide departments.
  • Follows FERPA regulations in maintaining confidential student information.
  • Manage program pages on the School of Nursing website.
  • Administer the graduate program with limited supervision from the Program leadership.
  • Prepare programmatic handbooks, presentations, letters, and reports.
  • Manage logistics associated with events, including—but not limited to—venue selection, catering, audiovisual, invitation designs, and budget development. Also, oversee travel arrangements for faculty and guest lecturers.
  • Coordinate any onsite support with the Academic Affairs Admin team for coverage.
  • Represent the program in administrative matters, including space, facilities, technology, the student information system, classroom support, etc.
  • In collaboration with Committee Chairs and Program leadership, create and track meeting agendas and minutes, including follow-up of action items.
  • Monitor and assist admissions processes, progressions, and graduation committees, including preparing agendas, drafting minutes, and scheduling meetings.
  • Maintains a current database of all students and graduates of the program, including for graduates, degree earned, job title, name of agency, and job location (city & state).
  • Responsible for Program Communication and Coordination Committee for DNP Program(s).
  • Program Administrators are both members and facilitators of these committees.
  • Develop agendas for meetings in conjunction with the program director.
  • Recording meeting notes and following up on information that should be shared with members and non-member areas, as well as any action items from the meeting. Minutes should be distributed to members within 48 business hours of the meeting.
  • Maintain the membership list of committees and working groups to ensure proper information dissemination.
  • Exercise independent judgment and apply knowledge of administrative and academic operating policies to support student success.
  • Provide excellent customer service to students by relating program information and resources.
  • Assist students with administrative tasks and issues, like fulfilling school-wide requirements.
  • Manage applicable aspects of accreditation for the graduate programs.
  • Responsible for regulatory compliance with the state board and other related agencies’ requirements.
  • Understanding and partnering with the University’s commitment to diversity, equity, and inclusion ensures these values are maintained throughout the programs and daily interactions.
  • Other duties as assigned.


Role Specific Responsibilities

  • Communicate all necessary information promptly to all key persons, students, faculty, SON, program and university leadership, and other departments using the most effective technological communication tools.
  • Student tracking mechanisms (i.e., teaching assistant assignments, DNP student funding, graduate assistantships).
  • Coordinate DNP Calendar of Events; schedule events and communicate essential deadlines.
  • Collaborate closely with the registrar’s office on course registrations, leave of absence, etc.
  • Coordinate student yearly awards (i.e., graduation, Fralic, Jonas, etc.)
  • Collaborate with the leadership at the respective schools (JH Carey Business School and the Bloomberg School of Public Health) to create a seamless student experience and meet both schools' procedural and academic requirements.
  • Provide cross-coverage for other Academic Program Administrators.
  • Responsible for coordinating and managing the DNP program's use of audit and other types of software and participating in university-wide software group (SSCI).


Additional Knowledge, Skills & Abilities

  • Excellent interpersonal, oral, and written communication skills.
  • Excellent computer skills (internet and software applications; word processing, spreadsheets, presentations, grant preparation).
  • Experience with database management.


Minimum Qualifications
  • Bachelor's Degree.
  • Three years progressively responsible experience in program administration in an academic environment.
  • Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.

Role/Level/Range: ACRP/03/MC  
Starting Salary Range: $24.61 - $43.12 HRLY ($36,400 targeted; Commensurate with experience)

Schedule: Up to 20 hours per week
