Position: Academic Outreach and Mulvane Site Coordinator
Department: Academic Affairs
Reports To: Associate Vice President for Academic Affairs
Job Summary: The Academic Outreach and Mulvane Site Coordinator has primary responsibility for the day-to-day management of the Mulvane campus locations and off-campus schedule development and assists with adjunct hiring and training. This position must work closely with the Associate Vice President for Academic Affairs, the Director of Distance Learning, the Director of Technical Education, the Director of Dual Enrollment, and the Director of Sumner Campus.
Position Duties:
- Serve as primary point of contact and provide day-to-day oversite of the facility, activities and on-site personnel for the Mulvane Campus
- Implement a recruitment and enrollment plan for the Mulvane campus in collaboration with the Academic Affairs department (working with the Director of Technical Education, Director of Dual Enrollment, and the Director of Sumner Campus).
- Ensure the facility is locked and unlocked for appropriate schedule usage or duty assigned to the responsible party.
- Provide oversight of facility maintenance including key tracking, security, maintenance; communication with leasers and 3rd party contract holders (snow removal & vending), etc.
- Work hand-in-hand with Academic Affairs departments to create and manage course schedules for online and Mulvane campus.
- Responsible for creating, maintaining, communicating, distributing, and posting the semester classroom schedule at Mulvane campus. .
- Serve as liaison for scheduling, training, and other events held on-site at Mulvane facilities.
- Maintain appropriate communication with Cowley administration, campus departments, community organizations, clubs, and sponsors, or other parties as necessary to sustain Mulvane campus operations, partnerships, planning, and events/activities calendar.
- Assist with the hiring of new adjuncts.
- Oversee applications, training, onboarding, and evaluative processes for outreach instructors in collaboration with department chairs.
- Schedule and Coordinate activities for Adjunct Faculty In-Services in conjunction with Academic Affairs.
- Assist instructors with technological, equipment, academic, and facility issues, as needed.
- Maintain records and oversee teaching materials and related supplies and resources for instructors
- Establish and maintain computer files relevant to academic needs.
- Maintain budget expenditure accounts and files.
- Maintain current mailboxes and copy codes for instructors, faculty, and staff.
- Order and maintain office and classroom supplies.
- Monitor class hours and/or office hours for personnel assigned to the site.
- Maintain work schedules and submit timesheets for work-study and evening/weekend part-time staff.
- Oversee tutors and ambassadors.
- Coordinate publicity for events at the Mulvane Center.
- Oversight of the proctoring process as needed.
- Provide on-site authority/decision-making for emergency and/or urgent issues using best judgment as representative of the Academic office.
- Notify teachers and/or students in the event of site closing, class cancellations, special events, etc.
- Maintain courteous, professional, and effective working relationships with employees, vendors, and/or any other representatives of external organizations.
- Comply with all College policies and procedures
- Participate in College committees/teams as needed.
Assist the Academic Affairs department, by performing other related duties as assigned.
Required Knowledge and Skills:
- Ability to operate a computer using word processing and spreadsheet software, College database systems, Internet applications and instructional programs.
- Ability to work independently, as well as on a team.
- Ability to work and maintain the highest level of confidentiality.
- Good communications skills, both written and oral.
- Ability to work in an environment that is subject to frequently changing priorities.
- Ability to organize and prioritize work. Work well under deadline pressures.
- Excellent human relations skills. Ability to work with individuals from a variety of backgrounds and diverse populations. Must be able to effectively work with office staff, outreach coordinators, adjunct instructors and students.
- Understanding of and commitment to quality improvement.
Required Education Background:
- Bachelor's Degree
Required Experience:
- Minimum of 2 years administrative experience in a high-volume, high-profile office environment.
- Office management experience, is preferred.
- Experience in a Higher education environment, is preferred.
- Experience with distance education instruction and learning management systems preferred.
Supervisory Requirements: Work Study, Student Tutors and Ambassadors, On-site support staff.
Physical Requirements:
Ability to sit or stand for extended periods; ability to move freely around the campus and outreach centers; ability to lift up to 35 pounds; ability to bend, stoop, reach and grasp as required to perform responsibilities; and ability to work on the computer for long periods.
Work Environment:
Work performed in an office environment. Must be available to work a flexible schedule, including evenings and weekends, as required.
