Position Summary

Responsible for managing DegreeWorks setup, adjustments, maintenance, scribing and curriculum maintenance. Work with Academic Affairs to implement and maintain corrections and updates in regards to curriculum that affects DegreeWorks and assist with graduation and all related entities of awarding degrees.

Salary: Appropriate placement on ACCS Salary Schedule E1, Grade 02: $49,686 - $66,832

Work Hours: Monday through Thursday, 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

Essential Duties and Responsibilities

 

  • Serve on the Calhoun graduation committee.
  • Manage Degree Works, which includes managing the setup, adjustments, maintenance, scribing, and curriculum maintenance for all college degrees and certificates.
  • Serve as primary contact for Degree Works
  • Ensure that each college’s degree and certificate program audits are available and accurate. Load course waivers and substitutions into Degree Works.
  • Work with appropriate college personnel to stay abreast of all proposed and approved curriculum changes, ensuring approved changes are updated promptly and accurately. Participate in curriculum committee and other meetings as necessary to create or update programs in Banner.
  • Work with Academic Affairs to make corrections and update Banner in regards to curriculum that are approved and affects DegreeWorks
  • Assist in identifying students eligible to graduate with degrees and certificates through credit review reporting and student, faculty, and staff outreach.
  • Assist in receiving graduation requests each semester and examine student records, verifying all requirements for graduation have been met to complete Banner processes and award degrees. Prepare related reports, providing regular updates on graduate counts to appropriate departments.
  • Assist with providing customer service to degree applicants concerning graduation requirements. Refer students to advisors if a student is determined to need credits to complete program course requirements. Act as liaison between the student and department in resolving discrepancies as required.
  • Assist with evaluating reverse transfer applicants to determine student eligibility and complete processing to award degrees for those meeting graduation requirements.
  • Assist with collecting and managing applications for the annual commencement ceremony, compiling a list of attendees, and providing support for the ceremony, including list generation, degree card printing, diploma and cover ordering, etc. Oversee related graduation correspondence, including notification letters and diploma distribution.
  • Assist with calculating academic honors and special recognitions to include in the academic record if applicable. Compile student lists and awards information for the commencement booklet and ensure that printing deadlines are met.
  • Perform queries and prepare regular reports using Argos, TargetX Retention, and other database reporting tools. Assist with enrollment monitoring and reporting to external agencies and state offices, which may include ACCS, NJCAA, and National Student Clearinghouse.
  • Provide guidance to students, faculty, and staff on policies and procedures related to registration, coursework, credits, degree requirements, records retention, and FERPA.
  • Provide support in admissions for routine tasks and inquiries to prospective and continuing students, which may include phone support, data entry, registration, program changes, and other activities related to student records.
  • Attend training, workshops, and conferences as recommended and approved by the supervisor and participate in job-related professional development.
  • Participate on college committees as required or assigned.

 

Qualifications

 

  • A minimum of a Bachelor’s degree from an accredited institution is required.
  • A minimum of Two (2) years of full-time work experience in an institution of higher education with direct roles in college DegreeWorks, admissions, registration, transcript evaluation, curriculum or academic advising is required.
  • Experience working in a student database such as Banner or Peoplesoft is required.

Preference will be given to candidates who can demonstrate through their experiences and accomplishments:
  • Master’s Degree from an accredited institution;
  • Knowledge of community college policies and procedures;
  • Knowledge of and ability to use Banner Student information system and additional components including Application Extender and Banner Document Management System (BDMS);
  • Knowledge of rules of grammar;
  • Knowledge of generally accepted office practices and procedures, including records management;
  • Knowledge of e-script;
  • Knowledge of FERPA;
  • Skill in operating a mouse to control a computer;
  • Skill in operating a computer;
  • Skill in utilizing a multi-line phone system;
  • Skill in operating a fax machine, copier, scanner, label maker;
  • Ability to follow instructions and adhere to prescribed routines;
  • Ability to utilize Excel or other database software to sort and manage lists;
  • Ability to utilize Word or other word processing tools to prepare and communicate information;
  • Ability to make decisions based on correspondence, data or other information;
  • Ability to utilize and search the internet for information;
  • Ability to utilize e-Script;
  • Ability to utilize Application Extender and BDMS;
  • Ability to multi-task and prioritize issues;
  • Ability to maintain confidential information;
  • Ability to work and communicate with a variety of people from diverse backgrounds;
  • Ability to utilize email systems to communicate information;
  • Ability to work with minimal supervision/work independently;
  • Ability to operate in a professional manner at all times;
  • Ability to greet individuals of any background with friendliness, tact and courtesy;
  • Ability to operate in high pressure and often-noisy situation and respond to issues in a calm manner;
